1. What this notice covers
This notice explains how we handle personal data when you use this website, submit an enquiry, or register as a trade partner / subcontractor through our supply chain registration form. It is written to meet the requirements of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. What we collect and why

We do not collect bank or payment details through this website. We do not use marketing cookies or advertising trackers.
Verifying your email. When you apply, we send a one-time code to your email address to confirm it belongs to you. We do not use that address for marketing unless you separately opt in.
Internal automated checks. To review applications fairly and consistently, our team may run internal automated checks that flag whether the information you provide looks complete, consistent and valid (for example, postcode format, or whether the evidence we need is present). These checks only assist a member of our team in their review — we do not make decisions about you by solely automated means, and you can ask us to review any outcome. They are used internally only and are never shared with or shown to other applicants.
3. Where your data is stored
Form submissions are stored in a secure, access-controlled database hosted in the United Kingdom (London region), encrypted in transit (HTTPS/TLS) and at rest (AES-256). Access is restricted to authorised Veraxus personnel, and every access or change is recorded in an audit log.
4. How long we keep it
Enquiries: up to 2 years from last contact. Trade partner registrations that do not proceed: up to 2 years, then deleted. Approved trade partner records: for the duration of the working relationship plus 2 years after it ends, unless a longer period is required by law (for example, tax and CIS records, which must be kept for 6 years).
5. Who we share it with
We do not sell or trade personal data. We may share relevant information with: our cloud hosting and database providers acting as data processors under data processing agreements; clients or principal contractors where this is required to approve you for a specific site or project; and professional advisers or authorities where required by law.
6. Your rights
You have the right to access the personal data we hold about you, to have inaccurate data corrected, to request deletion, to object to or restrict processing, to data portability, and to withdraw consent at any time where processing is based on consent. To exercise any of these rights, email contact@veraxus.co.uk. We will respond within one calendar month.
7. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
